Open Meet Electronic Entry Instructions

The instructions below should assist in the process of creating your club’s electronic entry file.
Once you have created your entry file, you’ll be able to upload it to the online entry system for our meet(s).

Notes:

  • All electronic entry files should be submitted using the entry system
    No entries will be accepted by email.
  • All payments must be made electronically.
    Club entries with a value in excess of £150 may be paid by bank transfer (see online entry system for instructions). Otherwise all entries should be paid using a debit/credit card on line.
  • Entries are accepted and processed only upon receipt of funds, and on a first come, first served basis.
    Please do not wait for the closing date before sending them.
  • Late entries will not be accepted

SportSystems

  1. Download Entry Manager.
    This can be downloaded from the SportSystems website.
  2. Download the SportSystems Entry File.
    This will be available to download from our Level 3 Open Meets page for the specific meet you wish to enter.
  3. Process your club’s entries
  4. Create the entry file
    Please follow the SportSystems instructions to export the entries to a new file. This file will take the following format BWSCxxyyMEET_nnnn_yyyymmdd-hhmmss.sez, where xxyy is the meet code, nnnn is your 4-letter club code, and the yyyymmdd-hhmmss is the file creation date/time. This file is usally saved to C:\SPORTSYS\SSEntry\export.
  5. Submit the file to the online entry system.

Hy-Tek and TeamUnify

  1. Download the Hy-Tek/TeamUnify Entry File.
    This will be available to download from our Level 3 Open Meets page for the specific meet you wish to enter.
  2. Process your club’s entries
  3. Export the entries as SD3 or ZIP.
  4. Submit the SD3 or ZIP file to the online entry system.
